Exhibitor Prospectus

Booth Rental
The cost for a 10' x 10' booth for the 2020 trade show is $1750.00 per booth (Plus GST 5%) for early registration. Booth pricing increases to $2250.00 (Plus GST 5%) after March 1, 2020. B/N: 10808 7800 RP0001

(One day booth rental is prohibited – exhibitors must be in attendance both days.)

Booth space is allocated by the Manitoba Dental Association.

Booth Rental Includes:
  • An 10' X 10' booth space; pipe & draped back wall [8' high] and side walls [3' high]

  • Overnight security in the exhibit area

  • Continental breakfast, lunch and coffee break refreshments for exhibit representatives on both days

  • Two representatives per booth. There is an additional $157.50 (GST 5% INCLUDED in price) fee for each additional person in the booths.
Booth Rental Does Not Include:
  • Carpet, tables or chairs (order through Central Display exhibitor package)
  • Set-up or dismantling of booths (order through Central Display exhibitor package)
  • Cleaning of booth (order through Central Display exhibitor package)
  • Material handling/advance warehouse  (order through Central Display exhibitor package)
  • Electrical requirements (order through RBC Convention Centre)
  • Central Display Exhibitor Package – Please note that Central Display will have a NEW Exhibitor package on October 21st. You can visit Central Display at www.centraldisplay.ca, however we suggest you schedule this for October 21st to ensure you have access to the most up to date options.
*Payment for any additional items must be sent directly to the supplier and not to the Manitoba Dental Association.

SHIPPING of Exhibitor Displays:
  • Please note ALL Exhibitor Display Items are to be shipped to Central Display at Unit #7 – 850 Marion Street, Winnipeg, MB R2J 0K4.

  • RBC Convention Centre will NOT be accepting Exhibitor Display Items.
Exhibitor Guidelines and Conduct
  • Booths are to be occupied by ONE company only. Maximum two company representatives per booth. If you wish to have more than 2 people representing your company at your booth you will be charged a fee of $157.50 (GST 5% INCLUDED in price) for each additional person.
  • NO sharing or subletting is allowed. Booth representatives must be employees of the company reserving the booth – subletting space to product representatives is not allowed.
  • If your company sells goods or services directly to Manitoba dentists you must provide a Manitoba PST Registration Number.

  • All exhibitors must be set-up by 7:00 AM on Friday, April 3rd, 2020.

  • The exhibit trade show will open on Friday, April 3rd, 2020 at 7:30 AM.
  • The exhibit trade show area will close on Friday, April 3rd, 2020 at 5:00 PM.
  • The exhibit trade show will re-open on Saturday, April 4th, 2020 at 8:00 AM.
  • The exhibit trade show will close on Saturday, April 4th, 2020 at 2:00 PM.
  • No display material, except hand carried, may be moved through the exhibit area after the trade show's opening.

  • Please note: Box lunches are available for the exhibitors in the tradeshow area. The tradeshow will not be closed during lunch.
  • The MDA Exhibit Chair organizes prize draws on behalf of all exhibitors to encourage attendance at the exhibit booths. One draw will take place each day over the lunch hour. If you wish to set up a draw at your own booth we would be happy to announce the winners at the end of each day.
Exhibitor Ingress and Egress

INGRESS (Move in) Instructions

Ingress Hours: Exhibitors will have access to set up in the trade show area on the 3rd floor from 12 noon (NO EARLY SET UP) until 8:00 PM on Thursday, April 2nd, 2020; representatives from the Manitoba Dental Association and Central Display staff will be on hand to assist the ingress.

The MDA Trade Show is situated on the 3rd floor – North Building of the RBC Convention Centre (see attached map). Access to Hall A is from the “Truck Ramp Entrance” of the RBC Convention Centre with access off Edmonton Street.

Unloading of equipment and supplies will occur at the loading docks at the “Vehicle Bays”. Once unloaded, please exit the loading dock area immediately to allow access of other exhibitors.

There will be the RBC CCW Service Desk located on the show floor to direct where your booth will be and if you require any further Event Services orders.


Loading Dock Locations

EGRESS (Move Out) Instructions

Egress Hours: Dismantling of displays is not permitted until the trade show area is closed at 2:00 PM on Saturday, April 4th, 2020. Exhibitor egress must be completed by 5:00 PM on Saturday.

Please note that move-out will begin once the show has closed and the aisles are cleared. If you are able to hand carry your supplies out to your car, we encourage you to do so.

All material must be removed by Saturday April 4, 2020. Please have your booth packed and arranged for shipping from Central Display or your preferred shipper.

Items left on the show floor after move-out time will be forced removed off the floor by the Central Display at your (the exhibitors’) expense.

Show Management reserves the right to reroute shipments that are not picked-up or refused by carriers. Should this occur, you will be responsible for any charges incurred.

  1. Children/minors (under age 16) are not allowed on the show floor during move-out as it is considered a construction zone.

  2. Exhibitors are not allowed to remove any exhibit material or dismantle exhibits until the official closing announcement.

  3. Keep aisles clear until the Central Display removes aisle carpet. No dollies, carts or other items are permitted on aisle carpet.

  4. Dismantle your booth completely. Only booths that are completely ready for loading will be given permission to send their vehicle to the loading dock. Simply have your driver/vehicle waiting elsewhere and you can call them from the Convention Centre once your booth is dismantled and you’ve been given permission by the egress table to send your vehicle to the loading dock. Be sure to have your driver’s phone number on hand.

  5. Remove all small items and valuables that can be easily removed at show closing to ensure their security. Bring all of your items to the loading dock.

  6. Once you have finished loading your items into your vehicle, the dockmaster will direct your vehicle to leave the loading dock to make room for the next vehicle.

*Construction waste (e.g. Carpet, wood, bricks, cabinets, etc.) MUST be removed from the venue by the exhibitors. Pack out what you pack in!
